How to prepare your photo and signature
- Choose what you are uploading from the list. The width, height and KB range fill in for you.
- Add your photo. A phone photo is fine. For a signature, sign on plain white paper with a black or blue pen and photograph it from straight above.
- Use Zoom and the two Move sliders until your face or signature sits well in the preview.
- For signatures and thumb impressions, keep Make paper white ticked. It removes grey shadows and paper texture.
- Press Make my file. The size appears in green when it is inside the allowed range. Download it.

Rules change between notifications, and some exams now capture your photo live through their own app instead of taking an upload. Always read the “photograph and signature” section of your notification and type its exact numbers into the boxes if they differ. Choosing Custom size lets you enter anything.
Why a file gets rejected even at the right KB
- Wrong pixel size. Many portals check width and height, not just KB. A 50KB photo at 1080 × 1350 pixels can still be refused.
- Below the minimum. A small signature can come out at 6KB when the minimum is 10KB. FileFitly adds invisible padding inside the JPG so it meets the minimum without changing the picture.
- Wrong format. Most forms want JPG or JPEG. Files from this tool are always JPG.
- Photo and signature swapped. It happens more often than you would think. File names from this tool start with “photo” or “signature” so you can tell them apart.
Photo rules that commonly cause rejection
- Light, plain background. White or very light grey is safest.
- Face straight to the camera, eyes open, both ears visible where possible.
- No cap, hat or dark glasses. Religious headwear is normally allowed if the face is fully visible.
- No filters, beauty modes or heavy editing.
- Recent. Many notifications want a photo taken within the last few months, and some ask you to bring the same photo to the exam centre.
- Your face should fill most of the frame, roughly from top of head to just below the chin, with a little space above.
Getting a clean signature
- Use a black or dark blue ball pen or gel pen on plain white paper. No lines, no pencil.
- Sign in a size you would normally sign on a form, not across the whole page.
- Many exams do not accept a signature in capital letters. Sign the way you normally do.
- Photograph it in daylight, phone held flat, without your hand’s shadow on the paper.
Keep copies
Save the final files in a folder named after the exam. You will often need the same photo again for the admit card, the interview stage or document verification, and it should match.
Questions people ask
Which exams does this work for?
Any form that tells you a pixel size and a KB range. Choose Custom size and type the numbers from your notification.
My signature file is below the minimum KB. What do I do?
Nothing extra. FileFitly adds invisible padding so the file meets the minimum while the image stays the same.
Can I use a selfie?
Yes, if it is well lit with a plain background. Use Zoom to frame your face the way a passport photo is framed.
Do I need a studio photo?
Not for most online forms. A clear phone photo against a plain wall in daylight usually works. Some exams ask you to carry printed copies, so a studio print can still be useful.
Is my photo uploaded?
No. Everything runs in your browser.
